Where property leads get lost
Most real-estate leakage happens between the enquiry and the first useful follow-up. A lead may arrive from WhatsApp, a portal, a landing page, an ad or a broker referral, but the team still needs the same basics: budget, location, intent, timeline and who owns the next action.
When those signals sit in separate chats or spreadsheets, the manager sees activity without control. The prospect experiences delay, repetition and unclear ownership.
The workflow I would design first
Start with a narrow enquiry workflow before adding advanced AI. The first version should capture the source, acknowledge the enquiry, ask five to seven qualification questions, create or update the CRM record, route the lead, notify the agent and log whether the next action happened.
What AI can qualify safely
AI can collect structured answers, identify missing information and suggest priority. It should be clear when a buyer is speaking with automation and when a human takes over. Sensitive advice, pricing promises and legal commitments need human review.
What remains human
Property recommendations, negotiation, legal and financial discussion, exceptions, complaints and final commitments should remain with people. Good automation protects the salesperson's time; it does not pretend to be the salesperson.
Where this can fail
The system fails when it sends aggressive follow-ups, creates duplicate CRM records, routes leads without availability checks or keeps working silently after an integration breaks. Build fallbacks, audit logs and human escalation before scaling.
How to measure improvement
Track median first-response time, percentage of enquiries qualified, assigned leads, follow-up completion, booked viewings and lost reasons. A useful system improves accountability, not just activity.
